Provides foundational administrative and clerical support to the finance department of a shipping line, logistics firm, or manning agency. While the Accounting Officer handles high-level analysis and reporting, the Assistant focuses on high-volume data entry, document verification, and daily financial tracking.
Key Responsibilities
- Invoice & Voucher Processing: Verifying suppliers' invoices against purchase orders and encoding accounts payable (AP) vouchers into the accounting system.
- Allotment & Payroll Support: Encoding seafarer bank details, tracking monthly allotment requests, and preparing bank files for crew families.
- Disbursement Review: Assisting in checking local port expenditures, vessel supplies receipts, and transport liquidations for accuracy.
- Collections & Monitoring: Monitoring accounts receivable (AR), logging incoming payments from clients, and issuing official receipts.
- Document Archiving: Maintaining systematic physical and digital files of tax forms, bank reconciliation statements, and general ledgers for easy audit retrieval.
Essential Job Qualifications
- Education: A Bachelor's degree in Accountancy, Management Accounting, Finance, or any business-related course.
- Experience: 1 year of in shipping experience.
- Technical Skills: Foundational knowledge of MS Excel (vlookup, basic formulas) and familiarity with encoding data into basic accounting software.
- Key Traits: High numerical accuracy, sharp attention to detail, and the ability to meet tight payroll and billing deadlines.
