Summary of role:
The Accountant is responsible for managing the company's financial and accounting functions while providing administrative and HR support to ensure efficient business operations. The role is accountable for maintaining accurate financial records, managing accounts payable and receivable, payroll administration, financial reporting, procurement documentation, statutory compliance, and supporting internal and external audits.
The Accountant also provides administrative coordination, supports HR administration activities, and ensures compliance with company policies, Malaysian statutory requirements, accounting standards, and Health, Safety & Environment (HSE) requirements.
Scope and Key Responsibilities:
Manage the full spectrum of accounting functions, including accounts payable, accounts receivable, general ledger, bank reconciliations, petty cash and fixed asset records.
▌ Maintain accurate and complete accounting records, journals, ledgers and supporting documentation in accordance with company policies and applicable accounting standards.
▌ Verify supplier invoices, prepare payment vouchers, process supplier payments and ensure timely settlement of financial obligations.
▌ Prepare customer invoices, monitor outstanding receivables and follow up on overdue payments.
▌ Process employee expense claims, utility payments and other operational expenditures accurately and within approved timelines.
▌ Prepare Purchase Orders and support procurement-related financial documentation. Process monthly payroll, including salaries, allowances, overtime, bonuses and statutory deductions, ensuring timely and accurate salary payments.
▌ Prepare payroll reports and maintain confidential payroll records while responding to employee payroll-related enquiries.
▌ Perform bank reconciliations, maintain petty cash records and monitor cash flow to ensure financial accuracy.
▌ Prepare monthly, quarterly and annual financial reports, including management reports, financial schedules and supporting documentation.
▌ Support month-end and year-end closing activities, budgeting processes and financial analysis.
▌ Assist internal and external audits by preparing financial records and ensuring audit-ready documentation.
▌ Ensure accurate data entry into accounting systems and maintain proper filing of financial records.
▌ Liaise with banks, vendors, customers and internal departments regarding financial transactions and resolve discrepancies promptly.
▌Ensure compliance with company financial policies, internal controls, accounting standards and Malaysian statutory requirements.
Operations:
▌ Support day-to-day financial operations of the business.
▌ Monitor cash flow and payment schedules.
▌ Coordinate with procurement for purchasing documentation.
▌ Ensure timely processing of operational expenditures.
▌ Liaise with banks, suppliers and customers on financial matters.
▌ Monitor contract payments and financial commitments.
▌ Support operational departments with financial information and documentation.
▌ Maintain proper financial controls to safeguard company assets.
Admin and HR Support:
▌ Manage and maintain office filing systems and administrative records.
▌ Handle incoming correspondence, emails and telephone enquiries.
▌ Coordinate office documentation and maintain confidential records.
▌ Maintain office stationery and consumable inventory.
▌ Assist with office procurement and vendor coordination.
▌ Provide general administrative support to management and other departments.
▌ Support company meetings by preparing documents and maintaining records.
▌ Assist with travel, accommodation and administrative arrangements where required.
▌ Support ad-hoc projects and assignments.
HSE and Compliance:
▌ Comply with all Company Health, Safety & Environment (HSE) policies, procedures and legal requirements.
▌ Participate in HSE meetings, briefings and training programs.
▌ Report unsafe conditions, incidents and near misses promptly.
▌ Ensure financial processes comply with internal control procedures.
▌ Comply with Malaysian accounting standards, taxation requirements and statutory regulations.
▌ Ensure compliance with company financial policies and approval authority limits.
▌ Support internal control initiatives and continuous process improvement.
▌ Assist with internal and external compliance audits.
▌ Maintain confidentiality of company financial and employee information.
▌ Promote ethical business conduct and integrity in all financial transactions.
Key Requirements:
▌ Bachelor's Degree in Accounting, Finance, Commerce or equivalent.
▌ Professional accounting qualification (ACCA, CIMA, CPA, MICPA or equivalent) is an advantage.
▌ Minimum 3–5 years' relevant experience in accounting, finance and payroll administration.
▌ Sound knowledge of Malaysian Financial Reporting Standards (MFRS), taxation, payroll administration, and statutory requirements including EPF, SOCSO, EIS and PCB.
▌ Experience in accounts payable, accounts receivable, general ledger, bank reconciliations, financial reporting, budgeting and audit support.
