About Our Client
My client is a new set up in the buy side industry within Financial Services, backed by some key players in the market they are urgently looking for an Office Manager/ Executive Assistant to support senior management. They will also need to be comfortable and have demonstrated previous experience in a new set up environment to assist with office admin and developing new SOPs and processes to ensure efficiency.
Job Description
As an Executive Assistant /Office Manager, your main responsibilities will include:
- Providing comprehensive administrative support to senior executives, including calendar management and travel arrangements.
- Overseeing daily office operations to ensure smooth and efficient workflow.
- Managing correspondence, preparing reports, and maintaining records as required.
- Coordinating meetings, conferences, and other events both locally and internationally.
- Handling expense reports and budget tracking for the office and executives.
- Liaising with internal departments and external partners to facilitate communication and collaboration.
- Ensuring compliance with company policies and procedures in office management tasks.
- Supervising office supplies and vendor management to maintain optimal resources.
The Successful Applicant
A Successful EA/OM Should Have
- Higher education in Business Administration or relevant
- Over 6 years experience in new start up environments in secretarial/ admin capacity - ideally in Financial Services.
- Strong organisational and multitasking skills with an eye for detail.
- Excellent written and verbal communication abilities in English, Mandarin and Cantonese
- Proficiency in office software such as Microsoft Office Suite and scheduling tools.
- A proactive and solution-oriented approach to managing challenges.
- The ability to maintain confidentiality and handle sensitive information with discretion.
