The Need
For over 25 years, IJM has pioneered the work to protect vulnerable people from violence. 9 out of 9 times in the last decade, IJM’s Justice System Strengthening Projects have reduced slavery and violence between 50% and 85% for very large populations of people in poverty.
As we grow to expand our impact to protect 500 million people from violence, we are seeking a Financial Assurance Specialist who will work closely with the Executive Director and advancement team in Singapore. The Financial Assurance Specialist plays a pivotal role in managing the financial and administrative operations for IJM Singapore. The individual will be responsible for the corporate and governance obligations of IJM Singapore as a registered business entity and ensure that all administrative and financial activities comply with regulatory requirements, company policies and standard operating processes (SOPs) while maintaining confidentiality and security of information. The incumbent will provide finance and administrative support to the team in advancing IJM Singapore’s strategic goals. The Specialist will manage the client relationship management and database systems for data management, accuracy and reporting; and collaborates closely with internal (particularly with Human Resources, Technology, Finance and Regional Accounting Services) and external stakeholders to ensure a seamless and integrated experience for IJM’s partners. The successful candidate will be part of the Regional Finance Community of Practice.
This position is based in Singapore and reports to the Executive Director, Singapore with a matrix reporting to the Director of Finance and Accounting, APAC. It is only open to candidates who reside in Singapore and have the right to work in the country.
Responsibilities
Documentation, Reporting & Data Management
- Manage all general office finance and administrative operations (including office procurement), procedures, meetings and policies.
- Manage office and related compliance, including preparation and submission of reports as required by the Singapore government and by IJM global.
- Facilitate review and renewal of office arrangements, assets and supplies.
- Work with APAC Regional Infrastructure Engineer to ensure effective functioning of the office network system and IT support services.
- Ensure electronic filing and records are accurate, secured and kept updated.
- Identify opportunities for process improvements, develop new and update existing SOPs to strengthen internal controls and ensure compliance with laws, regulations and SOPs.
- Serve as secretariat for corporate and committee meetings when assigned.
Finance & Accounting
- Track and analyze budget, revenue and forecasting on a monthly and yearly basis to inform strategic decisions and maintain compliance with reporting standards. This would include management and reconciliation of Salesforce data and bank statement.
- Ensure timely and accurate recording of transactions in Quickbooks, month-end closing process and preparation of financial reporting schedules in compliance with IJM global finance policies and Singapore Charity and Accounting Standards.
- Prepare monthly and yearly reconciliations and financial reports for management.
- Ensure timely vendor and staff payments to sustain smooth organizational functioning and statutory compliance.
- Initiate the engagement of an audit firm to conduct the annual statutory audit and oversee the audit process.
- Manage cash flow and monitor bank balance.
- Assist the Executive Director with budgeting, workplan, audit and financial controls.
- Support the approvals and review of Operational Expenses for Singapore based staff. Prepare and submit funding requests to ensure timely funding to enable staff claims/payroll payments.
Network & Partneships
- Act as liaison between the Executive Director and partners for meetings, document preparation and reporting.
- Coordinate the hosting of official office visitors, IJM events and field trips.
- Ensure a high-level of excellence and customer-service that fosters unity, alignment and joy for all who engage with IJM Singapore.
General Team Coordination
- Acts as general team coordinator and supports internal and external events (e.g., Annual Gala).
Supervisory
This role has no direct report.
Education & Experience
- Bachelor’s degree in business, finance or accountancy.
- At least 5+ years of proven professional experience in finance, accounting, corporate administration and/or governance function.
- Experience in managing, analysing and reporting on budget and financial requirements.
- Experience in implementing Singapore Charity and Accounting Standards.
- Proficiency with Microsoft Office applications, such as Excel and PowerPoint, and Web drives.
- Experience in philanthropy, Workday and Salesforce is a plus.
