What The Role Is
This role will require you to provide high-level administrative support to HTX’s senior management. This role requires exceptional organisational and communication skills, as well as the ability to handle sensitive and confidential information with the utmost discretion. The Personal Assistant play a crucial role in ensuring the efficient functioning of the office and supporting the senior management in various administrative tasks.
What You Will Be Working On
Key Responsibilities:
- Maintain and manage the Principals’ calendars, including scheduling meetings, appointments, and events.
- Coordinate and prioritise meetings and appointments to ensure optimal time management.
- Ensure the meeting venue is available, and materials are ready for Principals’ prior meetings.
- Handle sensitive and confidential information with discretion and professionalism.
- Organise and maintain office files, records, and documents.
- Arrange and manage Principals’ accounts and subscriptions.
- Arrange and coordinate travel itineraries, including flights, accommodation, and transportation.
- Assist the Principals in their administrative claims and travel arrangements.
- Perform other administrative/ logistical support duties as required.
What We Are Looking For
Requirements:
- At least 5 year(s) of working experience as PA or Secretary to Senior Management
- Exceptional organisational and time-management skills.
- Excellent verbal and written communication skills in English as most correspondences are in English.
- Proficiency in office software applications (e.g., Microsoft Office Suite).
- Ability to work independently and handle multiple tasks simultaneously.
- Strong problem-solving abilities and attention to detail.
- Knowledge of government protocols and procedures (preferred).
- Demonstrates unwavering integrity and loyalty to principals
