Your Duties And Responsibilities Include The Following
Procurement & Sourcing
Source, evaluate, negotiate, and procure materials, products, and services based on project requirements and operational needs.
Obtain quotations and prepare costing information for tendering and project price calculations.
Issue Purchase Orders (PO) and monitor procurement processes to ensure timely delivery of materials.
Conduct cost comparison and cost-saving analysis to achieve budget control and procurement efficiency.
Develop and maintain good relationships with suppliers, subcontractors, freight forwarders, and shipping agents.
Monitor supplier performance, pricing, quality, and delivery schedules.
Shipping & Logistics Coordination
Coordinate import/export shipments, transshipment arrangements, and logistics activities to ensure timely arrival of goods.
Prepare and manage all shipping and import/export documentation, including invoices, packing lists, permits, BL, and related documents.
Liaise with shipping lines, freight forwarders, transporters, suppliers, and warehouse teams regarding shipment schedules and delivery arrangements.
Handle shipment discrepancies, damaged cargo claims, customs-related matters, and shipping disputes professionally and promptly.
Follow up on defective or damaged goods claims and coordinate replacement or settlement with suppliers.
Financial & Administrative Support
Coordinate with Accounts Department regarding supplier payments, invoices, credit terms, and related procurement documentation.
Maintain accurate purchasing, shipping, and supplier records in the company database/system.
Prepare procurement and shipping reports for management review when required.
Leadership & Continuous Improvement
Assist in improving procurement procedures, supplier management processes, and logistics coordination efficiency.
Support and guide junior purchasing staff when necessary.
Resolve operational and procurement-related issues independently and provide practical solutions in daily work operations.
Perform any other duties and responsibilities assigned by the Management from time to time.
Requirements
Diploma or Degree in Supply Chain Management, Procurement, Logistics, Business Administration, or related field.
Minimum5 years of experience in procurement or purchasing (experience in the construction/building materials industry is advantageous).
Proficient in reading, writing, and speaking Mandarin to effectively liaise and coordinate with Mandarin-speaking suppliers and business associates from China.
Strong knowledge of import/export procedures and shipping documentation.
Good negotiation, communication, and coordination skills.
Familiar with ERP systems and Microsoft Office applications.
Experience dealing with overseas suppliers and freight forwarders will be an advantage.
