Qualification
- At least 3rd year college, Graduate or degree holder in HR, Psychology, or related field is an advantage.
- Basic data and analytical abilities
- Strong organizational, typing and time-management abilities.
- Good verbal and written communication.
Basic Functions
Responsible for organizing and securing all pre-employment documentation in compliance with Recruitment standard operating protocols. Ensures the accurate collation, submission, and secure handling of pre-employment records, supports payroll and contract preparation through timely data provision, and upholds data privacy and information security standards.
Primary Duties And Responsibilities
- Collating all physical documents listed in the pre-employment requirements list sent to the new hires.
- Soft copy may allow if deemed necessary.
- Checking and collating the same document on new hires' files.
- Coordinate with the mid-level supervisors to remind their mavens to complete requirements in their 201 files
b. Submit all completed 201 files to HR, furnish the following ensure transmittal report.
i. Scan the copies of all 201 files and upload the same in one drive provided by the company's IT for back up purposes.
c. Prepare New Hire Tracker and submit the same for payroll purposes within the timeline set by the department head. Including the submission of CV and government issued ID of the employee for contract preparation.
- Ensures that all documents are treated as confidential and must be handled with utmost security.
- Ensure that all documents are submitted within the time line.
- Accuracy on the data entry on all soft copies of the documents.
- Ensure that the data to be submitted are complete and accurate to avoid delays such as payroll, allowance, etc.
- Comply with the organizations information security and data privacy policies, procedures, and guidelines to ensure the protection of sensitive data, safeguarding the confidentiality, integrity, and availability of all information.
- This includes adhering to established protocols for securely handling, storing, and transmitting data while ensuring compliance with applicable legal and regulatory requirements.
- Attend mandatory annual Information Security (InfoSec) and Data Privacy Act (DPA) awareness training to stay informed about the latest security practices and maintain compliance
