A Property Assistant provides administrative and customer service support in property management operations. Responsibilities typically include handling tenant inquiries, assisting with lease documentation, coordinating maintenance requests, processing various purchase requisitions, payment requests, and records, assisting with property viewings, and ensuring that property files are accurate and up to date. The role also involves vendor coordination, move in/move-out processes, and general office support related to property operations.
Key Responsibilities
Assist in managing and organizing property-related documentation, records, and files.
Help coordinate communication between residents and property management
Assist in the preparation and distribution of notices and newsletters to residents.
Prepare Request for payment (Meralco, MWSS, PLDT, Sky cable, Red Fiber, and other related payables)
Prepare Purchase Requestion Slip (PRS) using oracle system
Assist in financial matters, including budget preparation, expense tracking, and collection of Rental and association dues and unpaid utility bills to Residents
Assist ocular inspection to all tenant inquiries
Assist with the move-in and move-out processes, including coordinating inspections and necessary paperwork.
Maintain a database of resident information and assist with access control, such as issuing keys.
Regularly inspect the property for maintenance issues, safety concerns, and cleanliness.
Coordinate repairs, maintenance projects, and vendor services.
Maintain an inventory of office and maintenance supplies.
Schedule and coordinate meetings, appointments, and events as needed.
Help ensure compliance with property maintenance regulations and standards.
Communicate with vendors and contractors for services, repairs, and maintenance work.
Be prepared to respond to emergencies or urgent situations in a prompt and efficient manner, including after-hours if necessary.
Assist with emergency planning and communication protocols for residents.
Serve as a point of contact for residents, addressing inquiries, concerns, and requests promptly and professionally
Perform any additional work connected to property operation that may be assigned.
