We are looking for an experienced, organized, and detail-oriented Residential Coordinator to join our growing team!


About the Client:

The Residential Coordinator will work for an Illinois-based client in the property management and investment industry.


Job Overview:

  • The Residential Coordinator is responsible for ensuring applicants applying for an apartment unit are qualified to rent per applicant laws and policies, obtaining all proper documentation. S/he will communicate with the leasing department, property managers, and prospective tenants the results along with ensuring a lease is electronically signed with all fees and concessions collected/waived and noted within the system database.
  • Additionally, s/he assists Property Managers with tenant issues, rent payments, key pick-up/drop off, leases inquiries, reports, and move-ins.


Responsibilities:

Applicant Relations

  • Ensure applications are filled out with the correct information from prospective tenants applying to the units.
  • Ensure proper documentation (i.e., of state ID and income verification) is provided from each applicant.
  • Ensure all administrative and move-in fees are paid and any applicable fees are waived and removed.
  • Ensure all screening of applicants is done per applicable laws and policies prior to approval or denial of an applicant.
  • Process applications, conduct screenings and perform background, credit, criminal, employment verifications, and past/present rental history check.
  • Accept rental payments and give immediately to Property Manager.
  • Type lease and complete appropriate paperwork and input information on Yardi system accurately and on a timely basis.
  • Update information in Yardi system database.
  • Manage rentable items, parking and or storage additions.

Tenant Relations

  • Update personal information from tenants when proper/new documentation is provided.
  • Provide tenants with documentation and instruct tenants on the process of subletting, reletting, buy-outs, and/or roommate changes.
  • Provide information, explain leases, and answer move-in questions tenants may have.
  • Transfer and connects tenants to the correct person to provide them with the additional information needed.
  • Consistently implement policies of the community.

Reporting

  • Assist Property Manager with updating renewals, market rents, or any fees/ concessions an applicant may receive.
  • Adjust or update tenant ledgers to be up to date.

RC and Property Manager Relations

  • Communicate with RCs and Property Managers on the current state of portfolios and any future changes within them.
  • Actively check-in with RCs and Property Managers about applicants or tenants before finalizing Leasing decisions.


Other Duties:

  • Assist management team with other various tasks as required. Ensure compliance with company policy, as well as federal and local regulations.
  • Attend meetings and/or connect with other employees to share best practices.
  • Additional duties as assigned by Management.


Qualifications:

  • Organization and meeting deadlines
  • Demonstrate ability to diffuse and respond to customer concerns to avoid escalation of the problem.
  • Neat, clean, professional at all times throughout the workday
  • Demonstrate an ability to support and contribute to community team.
  • Demonstrate strong oral and written communication skills.
  • Must have basic computer skills, including but not limited to: e-mail (Outlook), Word, and Excel.
  • Must possess a positive attitude.
  • High level of organization.
  • Attention to detail and follow up .
  • Competence with and/or desire to learn and use systems/ tools (Yardi, RentCafé, Monday, DocuSign, Mxie, and Excel).
  • Strong interpersonal and business communication skills.


Availability and Work Hours:

  • 40-hour work week and the ability to work a flexible schedule for weekend, and holiday coverage.
  • Occasional overtime as needed
  • Ability to access emails on weekends and be available to resolve issues as needed.
