Role Overview
We are seeking a highly meticulous and experienced Probate Paralegal to support a growing U.S. law firm on a long-term, remote basis. Working directly with the Lead Paralegal, you will ensure cases move efficiently from intake through completion. This role is ideal for a professional who prioritizes accuracy over speed, naturally double-checks their work, and takes genuine pride in producing flawless legal documents. As the first of several planned legal support roles, this position offers significant long-term career growth and the opportunity to take on more advanced responsibilities over time.
Key Responsibilities
- Document Preparation: Prepare probate petitions, guardianship documents, supporting forms, and related legal documents using established templates under attorney supervision.
- Data Accuracy & Verification: Accurately populate legal forms using client information and supporting documentation. Review all documents for completeness, consistency, and accuracy prior to attorney review.
- Proactive Case Management: Take ownership of routine probate and guardianship matters by independently identifying outstanding tasks and following up to keep cases moving forward without needing constant oversight.
- File Organization & Deadlines: Organize and maintain electronic case files, accurately track case deadlines, and provide timely reminders to attorneys and the Lead Paralegal.
- Client & Third-Party Communication: Follow up with clients to obtain missing documents or required information, communicate case status updates, and coordinate seamlessly with attorneys, paralegals, courts, and outside vendors.
- Cross-Functional Support: Assist with estate planning matters and execute additional legal support tasks as needed.
Requirements & Qualifications
- Required Experience: Proven experience supporting a U.S. law firm, with a specific background in Probate or Guardianship matters.
- Attention to Detail: Exceptional attention to detail is the #1 requirement. You must have a natural habit of verifying information, catching inconsistencies that others miss, and consistently learning from feedback.
- Communication Skills: Excellent written English and highly professional communication skills when interacting with clients and legal professionals.
- Organization & Process: Strong organizational skills and the ability to precisely follow established processes and procedures.
- Core Traits: High level of ownership, proactive communication when questions or problems arise, and a strong desire to build a long-term career with a growing U.S. firm.
- Remote Infrastructure: A reliable internet connection and a dedicated, professional home office setup.
Preferred Qualifications (Bonus):
- Hands-on experience preparing probate petitions or guardianship documents from scratch.
- Experience working directly one-on-one with a U.S. attorney or lead paralegal.
