Job Overview

Inbox Management

  • Take full ownership of the it@ Inbox.

IT Support & Helpdesk Management

  • Own and manage all IT support requests through ticketing or shared inbox
  • Troubleshoot hardware, software, network, and user access issues
  • Maintain SLAs for response and resolution times
  • Document recurring issues and standard fixes (SOP development)
  • Escalate complex issues to vendors or internal leadership as needed
  • Manage IT Support Cases and Salesforce development coordination.
  • Build reports using Power BI and similar.
  • Sage 100 and Salesforce updates.

Systems Administration

  • Administer Microsoft 365 (users, permissions, security, SharePoint, OneDrive)
  • Maintain Salesforce user access, workflows, and support coordination with developers
  • Support Sage 100 users, updates, and issue resolution
  • Manage device setup, provisioning, and decommissioning
  • User onboarding/offboarding (accounts, devices, security controls)
  • Email security, spam filtering, phishing monitoring
  • Internal training for staff on systems and tools
  • Compliance support (PCI, data security, internal policies)
  • Audit support for IT systems and access logs

Data, Reporting & Business Support

  • Build and maintain Power BI dashboards and operational reports
  • Support data accuracy across systems
  • Assist leadership with reporting needs and ad hoc analysis
  • Identify reporting gaps and implement improvements.

IT Infrastructure & Security

  • Maintain network, firewall, endpoint protection, and backup systems
  • Enforce cybersecurity policies (passwords, MFA, access controls)
  • Monitor system performance and identify risks or vulnerabilities
  • Coordinate with external IT/security vendors
  • Backup and disaster recovery testing

Vendor & Asset Management

  • Manage IT vendors (licensing, support providers, telecom, hardware suppliers)
  • Track all IT assets, licenses, and renewals
  • Control costs and identify savings opportunities
  • License optimization and cost control
  • Ensure contracts and services meet business requirements
  • Mobile device management (Android tablets, field devices)

Process Improvement & Automation

  • Identify inefficiencies and implement system or workflow improvements
  • Support automation initiatives across departments
  • Create SOPs for IT processes and end-user training
  • Documentation ownership for all IT systems
  • Assist with new system implementations or upgrades Project Coordination
  • Support IT-related projects (system rollouts, upgrades, integrations)
  • Coordinate timelines, users, and vendors
  • Track progress and report status to leadership Performs all other duties as assigned.

Requirments

Qualifications

  • Education and/or Experience – High School Diploma (or GED or High School Equivalence Certificate) Ex: High School Diploma (or GED or High School Equivalence Certificate); Bachelors degree preferred, two or more years commercial electrical experience; or equivalent combination of education and experience.
  • Language Skills – Ability to read, analyze, and interpret common scientific and technical journals, financial reports, and legal documents. Ability to respond to common inquiries

or complaints from customers, regulatory agencies, or members of the business community. Ability to effectively present information to management, public groups, and/or board of directors. Ability to interact clearly and effectively, in both written and oral communication, with supervisor, clients, staff, vendors, etc.

  • Mathematical Skills – Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
  • Computer Skills – To perform this job successfully, an individual should be proficient in personal computer skills including electronic mail, record keeping, routine database activity, word processing, spreadsheet, graphics, etc. This role requires an above-average knowledge of Microsoft Office.

Competencies

  • Working knowledge of Power BI for data visualization and executive dashboards.
  • Experience using Sage 100 for financial or operational support.
  • Salesforce experience.
  • IT proficiency.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Excellent organizational and multitasking abilities with a keen attention to detail.
  • Outstanding verbal and written communication skills.
  • Ability to work independently and as part of a team in a fast-paced environment.
  • Strong interpersonal skills with the ability to build relationships with stakeholders at all levels.
  • Experience handling sensitive and confidential information with discretion.

Preferred (Not Required) Experience

  • Proven experience as an Executive Assistant or in a comparable administrative role, preferably supporting C-Level executives.
  • Familiarity with Salesforce for CRM and executive reporting.
  • Exposure to Bloom Growth for strategic planning and meeting management
