Operations Coordinator (Up to ₱30K | Work-from-Home | 6-Month Fixed-Term Contract)

You own end-to-end operational coordination for learning and development projects delivered to corporate clients by an Australian professional education provider — managing project plans, timelines, contracts, and delivery logistics from initial design through to post-project review. Your work follows established project coordination workflows, contract processes, and delivery readiness standards aligned with client expectations.
This is not a task-executor role. You operate as the central conduit across Sales, Learning Architects, Facilitators, Delivery teams, and external clients and vendors, and are trusted to keep projects on track without waiting for direction. Best suited for professionals who thrive in multi-stakeholder environments, value structured execution, and prefer proactive project ownership over reactive task work.
You’re Likely a Strong Fit If You Have
- 3–5 years of experience in project coordination, operations coordination, training administration, or client delivery
- Demonstrated ability to coordinate multiple projects, activities, and stakeholders simultaneously against deadlines
- Experience working with clients, vendors, and cross-functional internal teams to deliver services or projects
- Proficiency in Microsoft Office Suite plus exposure to CRM, SmartSheet, or Learning Management Systems
- Willingness to work 6:00 AM–3:00 PM PH Time aligned with Australian business hours from a stable Cebu-based home-office setup
- Available to commit to a 6-month fixed-term contract.
Strong Signals
- Qualification or training in Business, Project Management, Education, Human Resources, Events Management, or a related field
- Prior experience supporting an Australian-based professional services or education organization
- Familiarity with corporate Learning & Development (L&D), training operations, or Registered Training Organisations (RTOs)
- Hands-on experience with SmartSheet, HubSpot, or comparable project management and CRM platforms
- Comfort using AI tools to streamline project coordination, reporting, and stakeholder updates
What You’ll Own
Learning Design Coordination
You own the flow of design work between clients, internal teams, and external facilitators — keeping requirements clear and approvals moving.
- Coordinate learning solution design activities between clients, internal teams, and external associates or facilitators
- Manage project plans, timelines, and deliverables through solution development and approval processes
- Monitor progress, identify risks or dependencies, and escalate issues promptly
- Maintain design documentation, requirements, and approvals for stakeholder visibility
Contract & Commercial Coordination
You keep proposals, SOWs, and contract documentation moving so delivery commitments can be met on time.
- Coordinate preparation and review of proposals, pricing, SOWs / COEs, and contracts
- Liaise with Sales, clients, associates, and internal stakeholders to progress approvals
- Track commercial milestones, documentation status, and key contractual obligations
- Maintain accurate project records and handover information for delivery readiness
Delivery Readiness & Execution
You are the operational spine of every project — from readiness checks to real-time coordination during delivery.
- Coordinate logistical, resource, and stakeholder requirements ahead of delivery
- Manage client and participant communications, enrolments, scheduling, venues, virtual platforms, and learning material distribution
- Act as the primary operational contact during delivery — coordinating between clients, participants, facilitators, and internal teams
- Manage attendance tracking, participant support, and schedule changes; proactively resolve operational issues or escalate when required
Measurement & Continuous Improvement
You close the loop on every project — capturing what worked, what didn’t, and what to improve next.
- Coordinate collection of participant and facilitator feedback across learning programs
- Identify trends, risks, and improvement opportunities and communicate findings to stakeholders
- Coordinate post-project reviews, lessons learned sessions, and client debriefs
- Contribute to continuous improvement of delivery processes, tools, templates, and operating procedures
- Share insights with Sales and leadership to support account growth and long-term partnership
