Overall management of the OurWorkplace Mailbox generic inbox and incoming/outgoing mail, couriers, dispatch and other requests relevant to mailing activities.
Physical Mailbox Management:
- Manage incoming documents and letters received through the physical mailbox located on the ground floor, including distribution.
Mail and Courier Management:
- Handle processing and distribution of incoming mail and courier items
- Coordinate outgoing courier services with service providers (FedEx and other carriers)
- Tracking & reporting of total incoming/outgoing couriers/dispatches for monthly invoicing
verifications.
- Corrigo Work Order creation for every incoming/outgoing mails/courier/dispatch.
Ad hoc Administration:
- Support Welcome Host during lunch breaks or absence from site (whenever required)
- Walk-In Requests: Assist with ad hoc requests for meeting rooms and other walk-in needs.
Other tasks (as directed by FM or AFM)
- Site operations management. Assist workplace facility management team with tactical
planning for the teams’ goals and objectives.
- Preparing the Daily/Weekly and Monthly reports.
- Ensuring all compliance audit documents are submitted by vendor in compliance audit site.
- Taking facility rounds, floor inspection and raising Corrigo tickets for the same.
- Follow up and close the Corrigo tickets logged as per SLA, effectively manage ground team
to ensure an on time deliverable system.
- Routine inspection of all services to ensure performance measures are being maintained.
- Support the Assistant Workplace Manager in all administrative functions, security issues and Workplace services and any other administrative functions deemed by Client.
- Ownership of the day-to-day administration, including reports generation as directed
- Communicate to the Assistant Workplace Manager all incidents’ issues and pending
problems.
- Identify issues at workplace and initiate immediate rectification actions.
- Involve in Vendor staff Training & Development.
- Vendor grooming and real time monitoring of services and periodic reviews and maintain
performance evaluation on monthly basis.
