Job Decriptions
Support the Project Manager in gathering equipment, resources and information to implement upcoming projects
Act as the point of contact and communicate project status to all participants
Help to prepare budgets
Maintain budgets by monitoring expenses and implementing cost-saving measures
Maintain work schedules
Create a project management calendar for fulfilling each goal and objective
Monitor the daily progress of projects
Determine project changes
Provide detailed updates to project managers or other stakeholders
Ensure stakeholder views are managed towards the best solution
Develop project strategies
Organise and participate in shareholder meetings
Prepare necessary presentation materials for meetings
Participate in project design meetings and propose improvements if necessary
Communicate with clients to identify and define project requirements, scope and objectives
Ensure the clients’ needs are met as the project evolves
When any important decisions or action items are made during the meeting, the Project Coordinator need to follow up on these with the necessary parties who are assigned these responsibilities
Coordinate all team members to keep workflow on track
Ensure all deadlines for certain projects are met
Assess project risks and issues and provide solutions where applicable
Providing administrative support as needed
Manage project-related paperwork by ensuring all necessary materials are current, properly filed and stored
Perform billing and bookkeeping tasks
Direct project correspondences by preparing and reviewing project proposals, memos, meeting minutes and emails
Issue all appropriate legal paperwork (e.g. contracts and terms of agreement)
Oversee project procurement management
Ensure resources and equipment are always available
Ensure standards and requirements are met through conducting quality assurance test
