Responsibilities
We are looking for an Executive Secretary to assist the Company Secretary to run the Group Corporate Secretarial office efficiently and to provide full range of administrative and secretarial services in a professional manner.
Key responsibilities include:
- Organise and expedite workflow of the Company Secretary Office
- To be able to liaise independently in arranging and scheduling meetings for senior executives and CLP Holdings Directors including liaising with their respective personal assistants / secretaries
- To be able to assist and co-ordinate the preparation of meeting agenda files for the CLP Holdings Board and Board Committee meetings
- Support the Corporate Secretarial team in providing a full range of professional and timely logistic arrangement for board/board committees meetings
- Provide day-to-day office and administrative support
- Maintain an effective and efficient documentary system and properly handle sensitive and confidential information
- Provide assistance in key departmental projects/events e.g. Annual Report and Annual General Meetings etc.
- Manage telephone calls, emails and work trays
- Manage calendars, meeting schedules, social events and functions, including travel, accommodation and logistics arrangements
- Prepare business correspondences, presentation materials, reports and meeting minutes in a variety of formats
- Work closely with internal and external parties to ensure smooth business operations
- Ensure full compliance with company policies
- Handle ad-hoc tasks and assignments when required
Requirements
- Higher Diploma / Higher Certificate in Secretarial / Management Studies or equivalent
- Minimum eight years’ secretarial and administrative experience in a senior secretarial capacity
- Excellent skills in MS Office applications with Strong skills in Word / PPT
- High level of accuracy in the delivery of word processing and document preparation
- Excellent spoken and written English and Chinese
- Well organised, detail-minded, self-motivated, and able to work independently
- Strong interpersonal and communication skills with pleasant and proactive character
- Discreet with professional attitude in handling confidential information
- Comfortable with working under timing pressure and on short notice and commitment to provide support after hours and / or remotely
- Strong “can do” spirit
